Registration Process

To register as a 2025 NYSAIS Conference Sponsor or Exhibitor, please complete this form, providing your company information and showcase preference(s). Due to limited space available for showcase tables, we anticipate that the demand for tables will exceed availability at a few of our conferences. In those cases, those who cannot be accommodated will be placed on a waitlist. Registrations are not confirmed until payment has been received and payments not made by the due date may be released to the next company on the waitlist.

Mohonk Reservations

Mohonk is a private resort and your registration for any event must be accompanied by a reservation at Mohonk in order to gain access to the grounds. Mohonk allows for several reservation options. Complete your reservation with Mohonk by calling 800-772-6646, or by reserving online. Reserve at the full rate, and you will be placed on the list for any NYSAIS block rooms, should any become available, in the order in which your reservation was received. Mohonk will contact you if a block room is available.

All Mohonk reservations and payment for such are the responsibility of the Sponsor or Exhibitor. NYSAIS has negotiated a special rate with Mohonk for a limited number of rooms. Those rooms are given to school attendees first. Rooms remaining in the block 30 days before the conference will be released on a first-come, first-served basis to sponsors and exhibitors who already hold a room reservation at Mohonk.

Exhibit Space Details and Requirements

Each company will be provided with one table, six feet long by three feet wide, draped with a white cloth during Exhibition Night. The Annual Heads of School Annual Conference traditionally does not have an exhibitor showcase (being exclusively open to Platinum Sponsors).

Tables/floorplans will be finalized on the night of the showcase. The room is limited to 28 tables. We do not recommend fitted tablecloths due to inconsistency in sizing.

Refund Policy

After January 1, 2025, Sponsorships are non-refundable. However, changes to your conference preference may be made based on availability. Exhibitors may cancel their registration up to two weeks prior to the start of the conference.

Waitlist

A waitlist for showcase tables is created when demand exceeds the number of tables available. Preference is given to Sponsors (starting with Platinum) and then to Exhibitors. When a table is released to a company on the waitlist, payment is expected within 10 days. That window may be shortened at the discretion of NYSAIS. If payment is not received by the due date, the table will be released to the next company on the waitlist.
